A cancellation is considered pre-dispatch if it is submitted before a driver has been assigned and en route to the pickup location.
- Cancellations submitted more than two (2) hours before the scheduled pickup time: eligible for a full refund, less any payment processing fees.
- Cancellations submitted less than two (2) hours before the scheduled pickup time but before driver dispatch: subject to a cancellation fee of up to thirty percent (30%) of the total order value.
- Refunds, where applicable, will be processed within five (5) to ten (10) business days to the original payment method.
A cancellation is considered post-dispatch if a driver has been assigned and is en route to the pickup location.
- Cancellations after dispatch but before driver arrival are subject to a cancellation fee of up to fifty percent (50%) of the total order value.
- If the driver has already arrived at the pickup location and the Client cancels immediately upon driver arrival — before the complimentary waiting period has expired — a Dry Run Fee applies as described in Section 3.
- If the driver has already arrived at the pickup location and remains on-site through the expiration of the complimentary waiting period without cargo handover, the full order amount may be charged with no refund issued.
- The Company reserves the right to assess additional fees for any costs incurred by the driver in connection with a post-dispatch cancellation.
If a driver arrives at the designated pickup location and the order is cancelled immediately upon arrival, or the cargo is unavailable, unready, or cancelled on-site by the Client before the expiration of the complimentary 15-minute waiting period, a Dry Run Fee will be assessed.
- Dry Run Fee: fifty percent (50%) of the base quoted rate OR $50.00 flat — whichever is greater.
- The Client will be notified of the Dry Run Fee before any continuation of service.
- Dry Run Fees are non-refundable.
If a Client-caused delay at either the pickup or delivery location extends beyond the complimentary 15-minute waiting period, detention charges will apply as described in the Pricing Policy. Detention charges are separate from and in addition to any cancellation fees that may apply.
Motion Miles Logistics reserves the right to cancel any order at its sole discretion, including but not limited to situations involving safety concerns, suspected fraud, unavailability of drivers, prohibited items, or violation of our Terms of Service. In the event of a Company-initiated cancellation prior to dispatch, the Client will receive a full refund of the amount paid.
- Approved refunds will be processed to the original payment method within five (5) to ten (10) business days.
- Payment processing fees charged by the payment processor are non-refundable and will be deducted from any refund issued.
- Refunds are not issued for completed deliveries except in cases where the Company has been found to be directly at fault for a verified service failure.

Cancellation requests must be submitted in writing. Verbal cancellation requests will not be accepted.
If the Client believes a cancellation fee was applied in error, a written dispute must be submitted to info@pipiw-staging.zeabur.app within seven (7) calendar days of the cancellation date. The Company will acknowledge receipt within two (2) business days and issue a written determination within five (5) business days of acknowledgment.
This Cancellation Policy shall be governed by the laws of the State of Texas. Any disputes arising under this Policy shall be subject to the exclusive jurisdiction of the courts located in Travis County, Texas.
